The School Delegate feature allows administrators to securely distribute account-management responsibilities to trusted staff members. Delegates can assist with teacher account administration, memberships, onboarding, and account maintenance, helping schools and districts scale operations without increasing administrative workload.
Delegates are often used for:

What Can a School Delegate Do?
A School Delegate can help manage many day-to-day School Dashboard tasks, including:
- View basic school information, such as school name, address, membership status, and points balances.
- Invite and create teacher accounts.
- View and edit teacher account information, including nickname, username, email address, and last login date.
- View limited student account information, such as nickname, username, email address, and last login date.
- Transfer accounts from departing teachers to new teachers.
- Add or remove memberships from teacher accounts.
- Add or remove points from teacher accounts.
- Request new estimates for memberships and services.

Note: Delegates are intended to assist with account administration and operational tasks. Administrative ownership of the School Dashboard remains with the primary school administrator.
Before You Promote a Delegate
Before granting delegate access, ensure that:
✅ The user already exists on the School Dashboard.
✅ The user has a legitimate administrative or support role.
✅ The user requires access to manage teacher accounts or memberships.
✅ The user understands your organization's data privacy and security expectations.
✅ The user has completed any required district or school training.
To use delegate features, a user must already be associated with the School Dashboard. However, a membership is not required to serve as a delegate.
Only educators who use Boom Cards directly with learners require an active subscription.
Student Data Visibility
To support account administration, delegates may view limited student account information, including:
- Username
- Nickname
- Email address (if applicable)
- Last login information
This access is intended solely for administrative support purposes. Delegates should follow all local, district, state, and federal student privacy requirements when handling student information.
How to Promote a Teacher to a Delegate
After logging in to your School Dashboard:
- Navigate to the Teachers tab.

- Locate the teacher you want to promote.
- Open the dropdown menu on the right side of the teacher record.

- Select Promote to Delegate.
- When prompted, click Okay to confirm.
The account will immediately receive delegate permissions. You can share the School Delegate Guide with newly assigned delegates to help them get started.
Adding a new User to your District Account
If you need to create or invite the user first, see Adding and Provisioning Teacher Accounts with the School Dashboard.
For Example, if a District's Administration wants to add support staff like an IT professional or a Special Education Coordinator.
Many districts use delegate access to empower program leaders and operational staff.
For example, a district Special Education Coordinator may receive delegate access to:
- Assist with teacher onboarding
- Manage staffing changes
- Transfer accounts when personnel changes occur
- Monitor account setup across multiple schools
- Support principals without requiring direct administrator involvement
This approach helps distribute administrative responsibilities while maintaining centralized oversight and consistency.
Best Practices for Managing Delegates
To maintain security and accountability:
- Only assign delegate access to trusted staff members with a clear business need.
- Review delegate assignments regularly.
- Remove delegate access when staff change roles or leave the organization.
- Limit the number of delegates to those responsible for operational administration.
- Communicate expectations regarding data privacy and acceptable use.
Strong governance practices help ensure the School Dashboard remains secure while allowing teams to work efficiently.
Removing Delegate Access
To remove delegate permissions:
- Navigate to the Teachers tab.
- Locate the delegate account.
- Open the dropdown menu.
- Select Remove Delegate.
Removing delegate access does not:
- Remove the user from the school account.
- Delete the user's account.
- Affect memberships or subscriptions assigned to that user.
It only removes the user's ability to interact with the School Dashboard as a delegate.
